Each library maintains a collection of restricted-issue material in high demand. Borrowing of this material is subject to shorter loan periods than normal items.

Finding items on Reserve

Reserve material is accessed through the library catalogue. On the Course Reserve tab select your lecturer and/or course from the dropdowns and you will be taken to a list of all appropriate reserve material. You can also browse all material on reserve for a particular department.

Closed Reserve

Closed Reserve material consists of items in very high demand. Closed Reserve material, depending on the item, is issued for two, three, or six hours. Closed Reserve items can be obtained from the Closed Reserve Desk at the Central Library, and the Issue Desk at other libraries. They may be renewed if another patron does not require them, and can be booked in advance. Please inquire at the desk for assistance with bookings and renewals.

Three-Day Loan

Three-Day Loan items are high-demand items, usually key texts for undergraduate courses. They are shelved openly, but are only issued for three days. They may be renewed, but must be returned after thirty days.

The Central Library also has some One-Week Loan items, which are identical to three-day loan items except that they are issued for seven days.

E-Reserves

An increasing amount of material can now be obtained online. When browsing the Course Reserve listing, material available in electronic format will be indicated. Simply click the access link, and, if prompted, enter your University username and password.

Frequently Asked Questions

How do I book a Closed Reserve item to use at a specific time?

You can book a Closed Reserve item for a specific time, whether or not it is currently checked out. To book an item, first locate it on the Library Catalogue, then:

  1. Select "Make a Request" in the blue sidebar. You may have to log in.
  2. Select "Short Loan" on the next screen.
  3. Select the appropriate location from the "Pick Up At" dropdown—"Closed Reserve Desk" if the item is at the Central Library, or the appropriate library.
  4. Select the date and time you wish to reserve the item for.
  5. Click "Submit" to make your booking.

I am a teaching staff member. How do I arrange for books to be placed on reserve for my courses?

Please contact the staff at the library where you wish to have the item placed on reserve. Please try to submit your reserve requests at least one month before the start of teaching to allow sufficient time for processing.

Material available through the Library's online resources can be placed on e-reserve. Additionally, book chapters and articles can usually be scanned and made available through the E-reserve system as well. Where it is possible to place material on e-reserve this will be preferred.

E-reserve items will appear in the list of reserve material for your course on the Library Catalogue and feature a link through which your students can access the item. 

For print items, please include:

  • Which item(s) you wish to place on reserve and where they are currently located.
  • Whether the items should be placed on closed or open reserve.
  • How long the items should be issued for. Closed reserve material can be issued for two, three, or six hours; open reserve material can be issued for three or seven days.

For e-reserve items, please include:

  • A link to the item if you have it, or a citation.

For all items, please include:

  • The course code and title.
  • The approximate number of students taking the course.
  • The lecturer's name and contact details, and your own name and contact details if you are not the lecturer.

May I make a distance request for items on restricted issue?

Items on closed reserve may not be borrowed. However, you can submit a request for them and the Distance team will send you a copy of their table of contents, allowing you to select a chapter to be copied for you.

Three-day loan and one-week loan items may be borrowed; they are issued for 10 days, to allow for postage.

What can I do if the Library does not hold an item I want to place on reserve?

The Library will attempt to obtain copies of any book required for teaching. Please give us as much warning as you can if you know the Library does not hold an item.

If an item is impossible to obtain, or while we are waiting for it to arrive, the Library can make a lecturer's personal copy of a book available through closed reserve. The Library cannot accept responsibility for loss or damage of a personal copy.

If an unavailable item is an article or chapter, it can, subject to the University's Copyright License and the restrictions of the Copyright Act 1994, be scanned and made available through the e-reserve system. Please contact the appropriate library for more information on this.

It is sometimes possible to use the interloan service to obtain material for reserve; however, requests for these items must be made by Library staff. The Library cannot legally place a personal copy of an interloaned item on reserve. Please contact Library staff for more information.

What material may not be placed on reserve?

The following types of material will not be accepted for reserve:

  • Unpublished material
  • Lecture notes
  • Model examination answers
  • Overhead transparencies
  • Photocopies of articles available through Library online resources (the online resource version will be used instead).

Please note that the Library will no longer hold photocopies of articles in their print form for issuing; they will be made available through the e-reserve system.
